Gmail Setup
- Open Gmail Settings (gear icon → Settings)
- Go to Forwarding and POP/IMAP tab
- Scroll down to Signature section
- Click Create new and name your signature
- Click the HTML editor icon (looks like <>)
- Paste your signature HTML code here
- Click Save
- Go to General tab and select your signature as default
Outlook Web Setup
- Open Outlook.com and click the gear icon
- Select View all Outlook settings
- Go to Mail → Compose and reply
- Scroll to Email signature
- Click Create new signature
- Give it a name and select Plain text first
- Switch to the HTML editor
- Paste your HTML signature
- Check Automatically include my signature
- Click Save
Outlook Desktop (Windows/Mac) Setup
- In Outlook, go to File → Options (Windows) or Preferences (Mac)
- Click Mail
- Under Signatures, click Signatures...
- Click New and name your signature
- Copy your HTML signature code
- In the signature editor, select all (Ctrl+A) and delete
- Right-click and paste → Paste Special
- Choose Unformatted Text
- Then manually select all again and delete
- Go back and use Insert → Text from File to load your HTML
- Note: Outlook Desktop has limited HTML support; use the Web version or apply via registry for advanced HTML.
Apple Mail Setup (macOS)
- Open Mail application
- Go to Mail → Preferences
- Click Signatures tab
- Click + button to add a new signature
- Give your signature a name (e.g., "Corporate")
- Copy your HTML signature and paste into the text field
- Set as Default signature for your account
- Close Preferences
- Note: Apple Mail displays HTML signatures in plain text. For full HTML rendering, use Gmail, Outlook Web, or Thunderbird.
Batch CSV Upload - Generate Team Signatures
The Batch CSV Upload feature allows you to generate individualized email signatures for your entire team at once. Here's how to use it:
Step 1: Prepare Your CSV File
Create a spreadsheet with the following columns (in this exact order):
- Name
- Title
- Company
- Phone
- Website
- LinkedIn URL
- Twitter URL
Example CSV (save as .csv file):

Step 2: Upload the CSV
- First, customize your signature design using the editor (brand color, layout, disclaimers, etc.)
- Click the 👥 Batch CSV Upload button below the Export section
- Select your CSV file from your computer
- The tool will read each row and generate a personalized signature for each team member
Step 3: Review & Download
- A preview window will show all generated signatures
- Review each signature to ensure the data was imported correctly
- Click 📦 Download ZIP to download all signatures
- You'll receive a ZIP file containing individual .html files named after each person
Step 4: Deploy to Your Team
- Extract the ZIP file on your computer
- Email the .html files to each team member
- Each person can now install their personalized signature following the Gmail, Outlook, or Apple Mail instructions above
- Alternatively, you can deploy signatures company-wide via email client group policies (IT administrators)
💡 Tip: Keep your CSV file saved so you can easily regenerate signatures if your company branding changes (new colors, logos, contact info).
